Privacy notice.

This notice covers personal data we hold about you when you visit sofee.ai, apply to a role through Sofee, or engage us to run a search. Plain English first; the legal detail follows.

Who we are

Sofee is a brand operated by Consortia Personnel Ltd, a company registered in England and Wales (company number 07184428). Consortia is the data controller for the personal data described in this notice.

What we collect from site visitors

• Essential cookies and storage needed for the site to work.
• Analytics data from Google Analytics (gtag) and Ahrefs Analytics: page views, source, device, broad geography. Pseudonymous. No cross-site advertising profile.
• Form data you submit when you start a search (your name, work email, what you want to hire for, any free-text notes).

What we collect from candidates

When you apply to a role Sofee is running, we hold:

• Your name, contact details, and CV.
• Your answers to the screening questions on the application form.
• The transcript of any Sofee voice-screening call you have consented to.
• Notes from the Consortia recruiter who reviews your shortlist.

Lawful basis: legitimate interest for matching you to the specific role you have applied to. Consent for keeping you on file for future roles (you can withdraw at any time).

Candidate data is automatically deleted ninety days after the role closes if no placement is made for you. Placements follow the standard retention required by employment law and our regulatory obligations as an agency.

What we collect from clients

When you engage Sofee to run a search, we hold the brief you have given us, the hiring contact's name and contact details, and any structured feedback you provide on shortlisted candidates. Contractual basis applies.

Who we share data with

• Your prospective employer (when you are shortlisted and consent to introduction).
• Sub-processors we rely on to run Sofee: hosting and edge compute (Vercel), database and storage (Supabase), transactional email (Resend), voice infrastructure (Retell), AI orchestration via Microsoft Azure Foundry, and reasoning and shortlist scoring via OpenAI and Anthropic models accessed through Azure Foundry. Subject to change as the stack evolves. A full list, with locations and safeguards, sits in our DPIA file.
• Regulatory and legal disclosures where we are required to.

We do not sell personal data. We do not use it for cross-site advertising. Provider model training is disabled on the LLM accounts we use; client briefs and candidate CVs are not used to train third-party models.

International transfers

Some of our sub-processors are based in the United States. Where this applies, transfers are protected by the EU Standard Contractual Clauses and the UK International Data Transfer Addendum.

Your rights

You have the right to:

• Access the personal data we hold about you.
• Correct it if it is wrong.
• Delete it (subject to any legal retention obligations).
• Restrict or object to how we process it.
• Receive it in a portable format.
• Withdraw consent for any processing based on consent.

If you are not happy with our response, you can complain to the Information Commissioner's Office at ico.org.uk.

Cookies

We use a small number of cookies and local-storage entries: those required for the site to function, plus Google Analytics and Ahrefs Analytics for usage data. None are used for cross-site advertising.

DPIA

We have a Data Protection Impact Assessment file covering Sofee's processing of candidate personal data. We share it on request for clients in regulated sectors going through procurement or compliance review. Email dpo@sofee.ai.

Changes to this notice

We review this notice at least every six months, and update it as Sofee evolves or as the law and our processing change. The effective date at the top reflects the most recent change. Material changes will be flagged on the homepage for at least thirty days.
